Pippa’s Summer Camp Afternoon Adventures– Terms and Conditions

By enrolling your child in Pippa’s Summer Camp, you agree to the following terms and conditions:

1. General Information

• The camp operates Monday to Friday, 2:00 PM – 5:00 PM, during 29^th July – 7^th August.
• The camp is open to local English-speaking children aged 7–12 who will participate alongside Japanese children learning English.

2. Enrolment

• Places are limited and confirmed only upon a written confirmation following a completed application form and signed terms and conditions.

3. Behaviour and Conduct

To ensure a positive, safe, and respectful environment for all:

• Children are expected to behave in a kind, inclusive, and respectful manner toward staff and fellow camp attendees.
• Bullying, aggressive behaviour, exclusion, or use of inappropriate language will not be tolerated.
• Children must follow the instructions of camp staff at all times.
• Repeated or serious misconduct may result in immediate removal from the camp.

4. Health and Safety

• All known medical conditions, allergies, or additional needs must be disclosed during registration.
• Parents/guardians must ensure their child is well enough to participate in camp activities.
• In the case of illness or injury during camp, we will contact the parent/guardian immediately. Emergency services will be called if necessary.
• The camp takes place both indoors and outdoors (including forest school); children should arrive dressed appropriately for the weather and activities.

5. Supervision and Drop-off/Pick-up

• Children must be dropped off and picked up promptly at the designated times.
• Only authorised individuals listed on the registration form may collect children.
• Parents/guardians must notify staff in advance of any changes to collection arrangements.

6. Photography and Media

• Photos or videos may be taken during camp activities to be shared with the parents of our Japanese students and promotional purposes (e.g., brochure, social media).
• If you do not wish for your child to be photographed, please email jodie@pippasguardians.co.uk before the start of the camp.

7. Liability

• While every effort is made to ensure the safety of your child, the camp and its staff are not liable for accidental injury or loss/damage of personal property.

9. Cancellations, absences and no shows

• Places are very limited. If your child can no longer attend a session, please email jodie@pippasguardians.co.uk with as much notice as possible so that another child can be offered the opportunity to attend.
• All absences should be notified in writing as soon as possible to jodie@pippasguardians.co.uk. Repeated absences may result in your place being cancelled so another child can be offered a place.
• In the event of a no show, where no cancellation or absence has been reported, your child’s place will be automatically cancelled and your child will not be able to attend any remaining sessions.

9. Consent

By submitting the registration form and allowing your child to attend the camp, you acknowledge that:

• • You have read, understood, and agreed to these terms and conditions.
  • You give consent for your child to participate in all camp activities, including supervised outdoor play and forest school sessions.
  • Your child understands the code of conduct/behaviour expected of them.
